Alignment problems are almost never the software being wrong. They are the printer driver scaling the page, the paper path skewing the sheet, or the stock being a different format than the one configured.
Rule one: never test on real stock
Print onto plain paper, then hold the printed sheet against a blank check sheet in front of a window or lamp. Everything shows through, and you can measure the discrepancy with a ruler. A pack of plain paper costs a fraction of a box of security stock.
The settings that break alignment before you start
Check these in the printer driver, not in the software:
- Scale to fit / Fit to page. Must be off. Any scaling shifts every element and changes the MICR character size, which matters — see what is a MICR line.
- Borderless printing. Off. It scales the image up.
- Paper size. Letter, 8.5 by 11 inches, not A4. An A4 setting on Letter paper shifts everything vertically.
- Duplex. Off.
- Draft or eco mode. Off for real checks; light toner reads poorly.
- Paper type. Plain or heavy, matching the stock weight.
Measuring the offset
Compare the plain-paper test against the blank stock and note two numbers:
- Horizontal offset — how far left or right everything sits, in millimetres or hundredths of an inch.
- Vertical offset — how far up or down.
Enter those as the offset adjustment in the software, with the sign convention the software uses, and reprint. Two iterations is normal; more than three usually means a driver setting is still scaling.
When only the MICR line is wrong
If the body of the check lands correctly but the MICR line does not, the cause is different: the MICR band has a strict position specification measured from the bottom edge of the document. Check that
- the software is set for the correct check size and format,
- the stock really is the format you think it is,
- and that the bottom margin of the printer is not clipping the band. Many printers cannot print within a few millimetres of the paper edge, and the MICR band sits close to it.
If the printer clips it, the only reliable fix is a printer with a smaller non-printable bottom margin.
Skew: printed at a slight angle
A check that is rotated a degree or two comes from the paper path, not the software:
- Load fewer sheets — a full tray feeds differently from a half-full one.
- Square the paper guides against the stack.
- Use the manual feed or rear tray if available; straighter paths skew less.
- Fan the stack before loading to separate sheets.
Different printer, different offsets
Alignment is per printer and per tray. If you print from two machines, save two profiles. Moving stock from tray 1 to the manual feeder on the same printer will also change the offset slightly.
Once it is right, lock it down
Note the offsets somewhere durable — a driver update or a Windows reinstall can reset them, and rediscovering them costs a stack of paper. When the alignment is correct, print one real check, inspect it against a bank-issued check for position, and only then run a batch.
